Minutes of League Meeting 4Sep13

Held at Westcliff British Legion

Chairlady opened meeting.

Apologies received from the Eagle Club. Sly was on her way here when she received a call and had to return to deal with a crisis; so no representative from the Eagle Club was present.

Secretary read minutes from last meeting (which was the AGM held on 24 July 2013).
Proposed by Maggie Frost.  Seconded by Doreen Adams. Agreed.

There were no letters to be read. Reminder that letters must be received 14 days prior to the meeting so they can be published on the website.

Welcome packs

Welcome packs for the new season were given out. All packs have ample copies of everything so captains/secretaries have no excuses for not providing correct paperwork at the correct time! Please check you have everything. There are plenty of results cards included.

Fixture cards for players are lilac this year and now include rule highlights; please encourage your teams to read these rules and the other useful information printed on it. Each pack also contains a full copy of the rules & constitution for reference. Thanks to Lynn Remmer for highlighting the need to include the rules for players. Any similar suggestions are always welcome.

Please check your phone numbers are listed correctly. Doreen Adams advised that her number should be 07795 193878.

Just to recap regarding team cup matches: the draw must be made at 8pm, but the team captain can give leeway until 8.15pm if she wishes to give players more time to arrive.

Fees

All team registration fees and individual team members’ fees have been received, with the exception of Eagle Club. It was agreed that Carol Burrell would collect their fees on behalf of the Committee when her team play the Eagle Club on Monday 9 September. Carol will then deliver the monies to Treasurer Jane Schroder.

Christmas events

The children’s Xmas party will be held in the afternoon of 1 December at the Eagle Club. Entertainment this year will be provided by Edna, whom we have used before with great success. She provides a disco and lots of party games with small prizes. Tickets are £4 per child.

Names and monies for the party are to be handed in at the next meeting. There is a lot of work involved in preparing for this so please note that no names will be accepted after the October meeting.

Xmas draw books will be given out at next meeting – 5 books per registered player. Please encourage your players to sell these. Chairlady Kay suggested that maybe a prize could be given for the team that sells the most. This was quickly dismissed as we all realised that Kay sold the most last year – we wondered if she wanted the prize or was it to encourage others to sell? 🙂

Chairperson’s AOB

The website has been revamped so please have a good look; any feedback welcome. Gill Cooper has done a wonderful job on this.

New players have to be registered with Secretary Tricia Smith and then 72 hours later they can play.

Lynn Remmer asked if the Castle Ladies could win a few games this season.

Teresa Schwendener asked that all captains ensure that when they have a cup match or final at their venue that they let the venue know to expect us.

Presentation night: the Ambleside was full to bursting this year so nearer the time we will discuss limiting the number of tickets to be sold.

Treasurer advised she had received £22 league fees.

Chairlady wished the best of luck to everyone this season, and see you at the October meeting.

Next meeting Wednesday 2 October 2013, 8pm at WBL

Requirements for October meeting:
1. Ladies pairs names + fees
2. Names and monies for children’s Xmas party also to be handed in. No names will be accepted after October meeting
3. Xmas draw books will be given out – 5 books per registered player.
